End User Site Licensed Software Agreements for VirusScan
Some departments may be placing new versions of VirusScan out onto their LANs for their users to access and install onto their computers.
While it is onerous to have to require faculty and staff to follow up and fill out End User agreements, unfortunately it is critically important. Either the person using the software has to fill this out and return it to OIT Customer Services, or the departmental support staff managing these copies and responsible for them has to fill out an agreement and take responsibility for the number of copies installed.
In the case of VirusScan there is no End User Agreement, because it is distributed online and the user agrees online AND IS RECORDED INTO A SITE LICENSE DATABASE. When this is followed, OIT has an accurate picture of the number of copies of VirusScan installed on the campus license. When a copy of VirusScan is put up onto a LAN for download and use by the department, if the LAN manager responsible for the copies does not report the number of copies deployed in this fashion in their department, we totally lose track of the number of copies out there.
VirusScan is technically not a true campus-wide license, but has a high number of nodes licensed. Our license agreement allows NAI to audit us. If Ohio State were found to be using more than our licensed nodes we would be liable to pay for the additional copies, as well as for the audit.
Ideally, from a licensing and data acquisition standpoint, the best way to install VirusScan is individually. If there are times when the department deploys the software differently, please take the lead and under the computer support person's name, report the number of copies installed as near as you can determine to the OIT IT Service Desk.
