Configuring Apple Mail to use IMAP service



IMAP is an e-mail protocol that allows you to store all your mail on the server, rather than downloading it to your computer. This allows you to access all the mail in your account from multiple computers.

To configure your OSU account to use IMAP in Apple Mail on the Macintosh, do the following:

  1. Start Mail.
  2. Go to the Mail menu and select Preferences.
  3. Click on the Accounts icon.
  4. Click the "+" sign at the bottom of the Accounts list.
  5. Enter the following information (See below for instructions specific to Mac OS X 10.5 at this step):
    • Account Type: IMAP
    • Description: OSU E-mail
    • E-mail Address: lastname.#@osu.edu
    • Full Name: Your First and Last Name
    • Incoming Mail Server: imap.service.ohio-state.edu
    • Username: Your OSU Internet Username
    • Password: The Password for your OSU Internet Username
    • Outgoing Mail Server (SMTP)***: Click on the menu, select Add Server, enter smtp.service.ohio-state.edu for the Outgoing Mail Server and click OK.

      ***NOTE: If you connect from an OSU Residence Hall, use smtp.resnet.ohio-state.edu . If you do not connect to the Internet through OSU, you will need to use your ISP's outgoing mail server. See this page for details.

  6. Click on the Advanced Tab and check Use SSL
  7. Close the Accounts window and save your changes.

Instructions for Mail in Mac OS X 10.5:

  1. Enter the following information and click Continue:
    • Full Name: Your first and last name
    • Email Address: lastname.#@osu.edu
    • Password: The Password for your OSU Internet Username
  2. Enter the following information and click Continue:
    • Account Type: IMAP
    • Description: Ex: OSU E-mail
    • Incoming Mail Server: imap.service.ohio-state.edu
    • User Name: Should be filled in from the previous step.
    • Password: Should be filled in from the previous step.
  3. Check the "Use Secure Sockets Layer (SSL)" option and set Authentication to "Password". Click Continue.
  4. Enter the following for the Outgoing Mail Server and click Continue:
    • Description: Ex: Outgoing Mail Server
    • Outgoing Mail Server: smtp.service.ohio-state.edu ***See the note above if you connect to the internet in the dorms or from a non-OSU Internet connection.
  5. Do not check "Use Secure Sockets Layer (SSL)". Click Continue.
  6. Click Create. If you receive a warning about the Security Certificate, click "Connect".
Important: Because all of your e-mail is stored on OSU's server, you will need to be aware of your quota. If you reach or are near your quota, you can drag messages from your inbox to a local folder. To create a local folder:
  1. While in Mail, go to the Mailbox menu and select New...
  2. From the "Location" menu, select On My Mac, then give a name to the new mailbox.
This mailbox will show up in your folders list under the icon labeled "On My Mac", meaning the mail within is stored locally. This also means any messages you move to that folder will be removed from the server and will only be available from that computer.
