Carmen: Roles and Permissions [Instructor]
People can access more or fewer features and tools in Carmen depending on their role in a course. For example, those with Instructor, Content Editor, and TA-Content-Grades roles for a course can modify and add course content, while those with Student, Guest, TA-Grades, and Lecturer roles can only view content for that course.
Each role can be assigned more than once per course; and if, for instance, more than one Instructor exists, all have equal access within the course. Additionally, it is possible for a person to have different roles (and, therefore, different levels of access) for different courses.
Those with Instructor roles can manually add other Instructors, Students, Guests, Lecturers, Content Editors, TA-Content-Grades, and TA-Grades to their courses; however, changing or revoking a role assignment can only be done by the Carmen support team. For instructions on adding someone to Carmen in various roles, see Add a participant.

Instructor and Instructor-like Roles
Instructor: Has full access to the course management, course material, gradebook, and classlist functions.
- The role of Instructor is automatically assigned to the instructor of record for a course -- note that the instructor of record is the person officially listed in the Registrar's system for a given course.
- Instructors can manually add other Instructors, Students, Guests, Lecturers, Content Editors, TA-Content-Grades, and TA-Grades to their courses. (Note, however, that changing or revoking a role assignment can only be done by the Carmen support team.)
Lecturer: Has nearly-full access to gradebook and classlist functions, but cannot modify course structure or content or add anyone to the course.
- The role of Lecturer allows nearly-full access to the classlist, but cannot add anyone of any role to the classlist.
- A Lecturer can grade, but cannot set up grades.
- Additionally, Lecturer is the only role other than Instructor that can submit final grades to the Registrar.
Use: The Lecturer role is especially useful for
- a course with multiple sections taught by multiple lecturers who must use the same content for each section.
- a course with content that is not to be altered by the individuals who teach it.
Content Editor: Can modify course structure and content, but cannot interact with the gradebook or add anyone to the course.
- When it comes to developing a course, the Content Editor is virtually identical to the Instructor; however, Content Editors have no gradebook access other than to set up grading (schemes, categories, columns).
Use: The Content Editor role is assigned when the official Instructor wishes to delegate course development to another person who will not be teaching the course.
TA-Content-Grades: Has nearly-full access to gradebook and classlist functions and can modify course structure and content, but cannot submit final grades to the Registrar, set up grading, or add anyone to the course.
- The TA-Content-Grades role is the second-most powerful role after the Instructor role. It is nearly identical to the Instructor role, except TA TA-Content-Grades cannot submit final grades to the Registrar, cannot set up grading (schemes, categories, columns), and cannot add anyone of any role to the classlist.
- Additionally, those with TA-Content-Grades roles have access to every section of a multi-section course.
Use: The TA-Content-Grades role allows someone other than the official instructor to interact with both content and grades; however, the official Instructor is still responsible for submitting grades to the Registrar.
TA-Grades: Has access to assign grades, but cannot set up grades, calculate final grades, or submit them to the Registrar; also, cannot modify course structure, content, or classlists.
- The TA-Grades role is the least-powerful "Instructor-like" role. Those with the TA-Grades role can only apply grades, grade quizzes, and give feedback comments.
- Additionally, those with TA-Grades roles must be specifically assigned to sections in a multi-section course -- they are not automatically granted access to all sections.
Use: The TA-Grades role is assigned to individuals who grade student work, but have no other contact with the class.
Student and Guest Roles
Student: Can view content, submit homework, take quizzes, participate in online chats and discussions, and view the student's own grades.
Use: The Student role is automatically assigned to students in the classlist for a course. (Note that Instructors can also add Students to their classlists manually.)
Guest: Can view content and participate in online chats and discussions, but cannot submit homework, take quizzes, or view grades.
- The Guest role is similar to the Student role, except that no assignment or grading functions are available.
- Additionally, the Guest role must be specially granted by the Instructor of a course; those with Guest roles for a given course must log in with their OSU Internet username (lastname.#) and password, just like any other Carmen user.
Use: The Guest role may be assigned by individual Instructors in order to
- show course content to those who are not officially affiliated with a course.
- allow guests to participate in class discussions and chats without having the ability to modify course content or to access grades.
Restricted Role: Support
Support: Has full access to the course management, course material, gradebook, and classlist functions -- like an Instructor. This role is granted only with proper authorization from a Dean or Department Chair.
- The Support role is similar to the Instructor role, except the Support role can be configured to access many courses.
- The Support role must be assigned by the Carmen Support Team. Deans, Department Chairs, or their delegates can contact 8help (8help@osu.edu or 688-HELP) for further information.
Use: The Support role is assigned to those who provide in-depth support for Carmen courses in their department or college. (Note that extensive knowledge of Carmen is needed for this role.)
