Central E-mail Migration: Frequently Asked Questions

  • Will my old email messages be migrated? What if I have messages in multiple email folders?

    All of your messages will be migrated to the new central email system, including messages you have saved in the Sent and Trash folders, or in any other folders you have created.

  • Will the contents of my old Webmail address book be migrated?

    Yes, the entire contents of your original Webmail address book should be migrated from the old system to the new.

  • Will anything not be migrated from the old system to the new one?

    Because of necessary steps taken as part of the upgrade process, certain changes to your Webmail settings made after mid-February, 2008 will not be migrated to the new server. These settings would include things like your signature, any changes to your Webmail color scheme, or any vacation messages you have put in place during this interval.

    Changes to your settings made before mid-February should be migrated to the new mail system.

  • Will current settings in my POP/IMAP client change?

    If you are using a standalone POP/IMAP client, such as Eudora or Outlook, you will not need to make any changes to your client after the migration.

  • Will my OSU email address change?

    There will be no change to the structure of OSU email addresses as a result of the migration -- they will still be in the format name.nn@osu.edu.

    Similarly, no individual email addresses will change as a result of the migration.

  • Will we see an increase in quotas?

    We have been planning for additional mail storage space (quota) as a part of the new e-mail system, but during this first phase, we are concentrating on the migration process, and getting everyone moved over to a stable mail system.

    After migrations have completed, possible quota increases and other system enhancements will be considered.

  • Will the migration affect anti-spam functionality?

    Since spam filtering is actually done by a system separate from and external to the OSU central email servers, antispam functionality will not be affected by the migration (i.e., new features will not be added, nor will any existing features be lost, and your anti-spam settings will not change.

  • Will my forwarding change?

    There will be no changes in your forwarding settings as a result of this migration. If your email is currently forwarded, that forwarding will remain in place. This includes OSU alumni and retirees using the Free Lifetime Forwarding email service.

  • I log on to the OSU Webmail system with my old-style(MAGNUS) username. Will I still be able to do this after the migration?

    Yes, your MAGNUS username will continue to allow you access to the email system, either via Webmail or via a standalone email program.

  • What should I expect while my account is being migrated?

    Current plans call for migrations to take only a few minutes -- less than twenty. During this time, you will not be able to check your email either via Webmail or using a standalone email client. If you attempt to check your mail using a mail client during this time, you will get a password error. If you attempt to check your email using Webmail, you will see a message informing you that your account is being migrated and asking you to check back in ten minutes. If mail is sent to you during this window, it will be held for later delivery; however, it should all be delivered once your account has been migrated to the new mail system.

  • I tried to check my email using a standalone email client and got a password error. Is my account being migrated?

    If you believe your account is currently being migrated, attempt to log in to your email at the OSU Webmail page. If your account is being migrated, you will see a message so informing you and asking you attempt to log in again after waiting ten minutes.

  • Will I still be able to manage my account using OIT's Account Management self-service tools?

    Before your account is migrated, and after the migration is complete, you will be able to use the self-service tools normally.

    During the migration process, almost all of the self-service email tools will be disabled; you will only be able to check the current forwarding of your account. If you attempt to use the other self-service tools, you will get an error message informing you that your account is being migrated.

  • My account has been migrated. Do I need to do anything special to check my email account using Eudora/Outlook/Thunderbird/any other mail client?

    No. After migration of your account has been completed, your mail client should resume working exactly as it did before.

  • My account has been migrated. Do I need to do anything special to check mail using OSU's Webmail service?

    Presently, when going to OSU Webmail, everyone, whether you've been migrated or not, will see the OSU Webmail Migration Assistant. Enter your username into the field there and you will be directed to the correct Webmail site, where you can login and proceed normally. If you have been migrated, you will see a different appearance for OSU Webmail.

  • I have noticed new features in the Webmail interface that were not there in the old system, such as the ability to check other email services. Will these features always be available?

    It is possible that some advanced features currently available on the Webmail system will not remain available, as their impact on the new system is assessed. We therefore recommend that you avoid using these advanced features until migration is complete.

  • The new Webmail site does not include a feature I had hoped would be available. Will it be added?

    Once migration to the new system has been completed, other features and settings such as increased quotas, a calendar and Outlook connectors are anticipated but will be phased in to the new environment. You can send email to 8help@osu.edu with questions about potential features for collection and consideration. When time lines for additional functionality are identified they will be provided.

  • I still have more questions. Who should I contact?
